The assistant replies in seconds, books appointments, takes orders and passes complaints to a person. The harder questions are which WhatsApp product to buy, what the monthly bill looks like and what Ghana's data protection regulator expects.

What is the difference between the WhatsApp Business app and the Business Platform?

The WhatsApp Business app runs on a phone and offers greeting messages, away messages, quick replies, labels and a catalogue. The WhatsApp Business Platform is Meta's set of APIs for software. It connects a chatbot, a CRM and live agents to one business number, which an AI assistant needs.

Meta's documentation says verification is optional but improves functionality, such as higher message throughput. Meta adds that test accounts carry relaxed messaging limits and need no payment method to send template messages, so a vendor can show you a working prototype before you spend money.

How much does a WhatsApp AI chatbot cost in Ghana?

JBKlutse puts platform subscriptions for a WhatsApp AI chatbot at USD 13.50 to 108 per month, about GHS 150 to 1,200 at April 2026 rates. Meta's per-message charges come on top unless the vendor bundles them. A custom build replaces the subscription with developer time, which JBKlutse prices at GHS 3,000 to 8,000 one-time.

JBKlutse's headline range does not cover its own table. Respond.io at 10,000 conversations costs USD 151.49 and Trengo with ten team members costs USD 119.03, both above the USD 108 ceiling. Treat the range as a guide for small volumes and ask each vendor for a written quote.

Meta's message charges

Meta charges for template messages by category (marketing, utility or authentication) and by the recipient's country calling code. Ghana's code, +233, falls in Meta's Rest of Africa region. Non-template messages sent inside the 24-hour customer service window, which opens when a customer messages you, are free. Messages in the 72-hour window after a customer taps a Click to WhatsApp ad are free too.

Rates move. Meta changes rate cards on 1 January, 1 April, 1 July or 1 October, and on no other date. JBKlutse quoted USD 0.007 per business-initiated message for Ghana numbers in April 2026. Yen.com.gh reported on 27 August 2026 that, from 1 October 2026, Ghanaian numbers cost about USD 0.0101 per utility message and USD 0.062 per marketing message. The two figures differ, so ask your vendor for Meta's current rate card for +233 numbers.

Custom builds

JBKlutse's May 2026 guide lists GHS 3,000 to 8,000 one-time for developer work on a custom assistant that calls the ChatGPT API, GHS 1,500 to 2,500 a month for maintenance and USD 18 to 36 a month in API costs. Use it to judge whether a quote sits far above or below the range.

How do you set up a WhatsApp AI chatbot step by step?

Choose one job for the assistant, register the business with Meta, pick a vendor or developer, write the approved answers, test on real phones and launch to a small group first. ChatDaddy, a vendor, says connection takes 24 to 48 hours. Writing and testing the answers takes longer, so plan a pilot before you announce the number.

  1. Pick one job. Answering delivery and price questions or booking appointments are both good first jobs.
  2. Create a Meta business portfolio. Meta's documentation says the Platform requires one, plus a business phone number, real or virtual. Decide which number the assistant will use, because customers will message it.
  3. Choose the builder. A platform vendor connects through Meta's Cloud API for a monthly fee. A developer builds a custom assistant on the same API.
  4. Write the approved facts. Collect prices, hours, delivery rules, refund rules and the exact wording for sensitive topics. The assistant answers from this document.
  5. Submit message templates. ChatDaddy lists template approval by Meta as a setup step. Templates cover messages you start. Replies inside the 24-hour window do not need them.
  6. Test on real phones. Staff and friendly customers message the assistant in the languages and spellings your customers use.
  7. Launch small, then review weekly. Read the conversations, fix the approved facts and widen the audience once the answers hold up.

What should a Ghanaian business automate first?

Automate the questions your staff answer most, because they follow a fixed pattern and carry low risk. Start with hours, prices, delivery zones and stock, add bookings next, and add orders and payments last. JBKlutse names the same frequent questions among the standard chatbot tasks.

  • Week one: frequent questions. Copy your last 100 customer messages into a sheet and sort them by topic. The top five topics become the first answers.
  • Next: bookings. A booking has a fixed set of fields and a clear end point, so errors are easy to spot.
  • Then: order taking. Add address capture, order confirmation and status updates once the answers hold up.
  • Last: payments. Payment collection touches money and your provider's systems, so it needs the longest test.

When should the chatbot hand a customer to a person?

Hand over when the customer complains, asks for a refund, reports a damaged item, wants a custom or bulk order, repeats a question or when the assistant is unsure. JBKlutse suggests those triggers, a confidence score below 60 percent as the threshold, and a human reply within 30 minutes during business hours.

  • Offer a person on request. Add a plain option such as "talk to a person" to the first message and to each menu.
  • Pass the context. The agent should see the chat so far, so the customer does not repeat the story.
  • Name the owner. Assign each handed-over chat to a named staff member, and set a time limit for the first reply.
  • Say what happens after hours. Tell the customer when a person will reply, and have the assistant keep taking details in the meantime.

What does Ghana's Data Protection Act mean for a WhatsApp chatbot?

A chatbot receives customer phone numbers and message text. The Data Protection Commission, set up under the Data Protection Act, 2012 (Act 843), says on its registration page that all entities involved in processing personal data must register, and it lists businesses, data controllers and data processors. Check with the Commission or a lawyer where you stand.

  • Registration. The Commission's page says a data controller that has not registered may not process personal data under Section 53.
  • Penalties. Under Section 56, processing without registration is an offence, with a fine of up to 250 penalty units, up to two years in prison, or both. The Commission can issue a stop order.
  • What registration asks for. Business details, data categories, purposes, recipients, international transfers and security measures.
  • Ask your vendor. Where are chat logs stored, who can read them, how long do they stay, and can you delete a customer's history on request?
  • Tell customers. Put a short privacy notice in the first message and link to your full policy.

What are the honest limits of an AI assistant on WhatsApp?

An AI assistant can state a wrong answer with confidence, misreads emotion and struggles with languages that have little training data. JBKlutse says AI bots in 2026 handle structured FAQs well but fail on empathy and edge cases, and it estimates Twi accuracy at 50 to 60 percent unless you build a custom bot.

  • Answers depend on your facts. An assistant given outdated prices will quote them. Someone on your team owns the approved facts and updates them.
  • Language coverage varies. JBKlutse reports no native Twi training in one free tool and weak Twi support in another. Test your own languages before you pay.
  • Savings are estimates. JBKlutse estimates that a bot handles 40 to 60 percent of inquiries in month one and 60 to 80 percent later. Measure your own chats instead of trusting the figure.
  • Meta sets the rules. Meta's terms bar providers whose main product is a general-purpose chatbot from the Business API from 15 January 2026. Meta told TechCrunch that businesses using AI to serve their own customers are not affected.
  • Rates and terms change. A quote from April may not match October. Ask for the date and the source of each price.

What should you ask a vendor before you sign?

Ask which Meta charges the price covers, which payment providers the vendor has connected, how the assistant performs in your languages, where chat logs live and who owns the number and the Meta account if you leave. Get each answer in writing before you pay a deposit.

  1. Which Meta message charges does the price include, and which does it pass through?
  2. Which Ghanaian payment providers has the vendor connected, and can you see one live?
  3. Which languages has the assistant been tested in, and what were the error rates?
  4. Where are chat logs stored, and how do you export or delete them?
  5. Who owns the number, the Meta account and the approved facts if you leave?
